Frequently Asked Questions
No, we strongly recommend against storing sensitive credentials in Prompteka.
While Prompteka keeps all your data private on your Mac (no cloud sync, no external transmission), the local database is not encrypted at rest. This means:
✅ Safe to store:
- AI prompts and templates
- Code snippets and documentation
- Workflow instructions
- Non-sensitive reference materials
❌ Do NOT store:
- Passwords or API keys
- Cryptocurrency seed phrases or private keys
- Credit card numbers or SSNs
- Any confidential credentials
Additional Protection:
If you enable macOS FileVault (full-disk encryption), your data is encrypted when your Mac is powered off or locked. However, when you're logged in and using Prompteka, the database file is accessible to anyone with access to your Mac.
For sensitive credentials, use a dedicated password manager like 1Password or Bitwarden that provides encryption at rest.
All your prompts and settings are stored locally in your Mac's Application Support folder in a file called prompts.db.
Nothing is sent to the cloud or our servers. Your data stays on your device.
Use the Export feature to create a JSON backup:
- Click the Settings icon (gear) in the bottom left
- Click "Backup & Restore"
- Click "Export All Data"
- Choose a location to save your backup file
We recommend backing up regularly, especially before major updates.
To restore your prompts from a JSON backup:
- Click the Settings icon (gear) in the bottom left
- Click "Backup & Restore"
- Click "Import Data"
- Select your backup JSON file
Note: Importing will merge with existing data, not replace it.
Want to see Prompteka in action? Load sample prompts instantly:
- Click the Settings icon (gear) in the bottom left
- Scroll to "Try Sample Data"
- Click "Load Sample Data"
Note: This will replace all existing data with sample prompts. Make a backup first if you have prompts you want to keep!
Prompteka doesn't have built-in cloud sync (to protect your privacy), but you can manually sync:
- Export your data on Mac #1
- Transfer the JSON file to Mac #2 (via AirDrop, iCloud Drive, USB, etc.)
- Import the data on Mac #2
Click any prompt to view its full content. The entire body is automatically copied to your clipboard when you select a prompt. Just paste (Cmd+V) into ChatGPT, Claude, or any other tool.
Create folders to group related prompts:
- Click "New Folder" in the left sidebar
- Name your folder (e.g., "Marketing", "Code", "Research")
- Drag and drop prompts into folders
- Or edit a prompt and select a folder from the dropdown
Prompteka includes 300+ emojis across multiple categories including:
- Smileys & People
- Animals & Nature
- Food & Drink
- Travel & Places
- Activities
- Objects
- Symbols
- Flags
- And more...
Use emojis to visually distinguish different types of prompts at a glance.
Yes! You can:
- Choose custom colors for each prompt
- Select from hundreds of emojis as icons
- Adjust the sidebar width (drag the divider)
- Sort prompts by date or alphabetically
Prompteka uses a local SQLite database with no hard-coded limits. Your practical ceiling is your Mac's available disk space. However, here are some guidelines for optimal performance:
Recommended Usage (Smooth Performance)
- Number of prompts: Up to 500
- Average prompt size: Up to 10 KB each
- Total database size: Up to 10 MB
- Backup file size: Up to 10 MB
Extended Usage (May Experience Slowdowns)
- Number of prompts: 500–2,000
- Average prompt size: 10–50 KB each
- Total database size: 10–50 MB
- Backup file size: 10–50 MB
Power User Territory (Potential Performance Issues)
- Number of prompts: 2,000+
- Average prompt size: 50+ KB each
- Total database size: 50+ MB
- Backup/restore: May be slow or cause temporary freezes with very large libraries
Why these limits?
While SQLite can technically handle terabytes of data, Prompteka loads all prompts into memory for fast searching and instant access. Very large libraries increase memory usage and slow down startup, search, and backup/restore operations. For most users managing AI prompts, these limits are more than sufficient.
Tips for Large Libraries
- Keep prompts concise—store the prompt, not the full conversation
- Use folders to stay organized
- Periodically archive old prompts you no longer use
- Back up regularly in case you need to restore
MCP Integration
Prompteka now supports the Model Context Protocol (MCP)—a standard way to connect AI assistants to your prompt library. With MCP, your AI tools can read, create, and organize prompts directly from conversations.
MCP (Model Context Protocol) is an open standard developed by Anthropic that allows AI assistants like Claude Desktop, Cursor, and other MCP-compatible tools to access external data sources—like your Prompteka library.
What you can do with MCP:
- Ask your AI assistant to find prompts from your library
- Create new prompts directly from conversations
- Update existing prompts without leaving your AI tool
- Organize prompts into folders programmatically
- Search your entire prompt library from any MCP-compatible tool
Learn more: Prompteka MCP Integration Page
The Prompteka MCP server is available via npm. Here's how to set it up:
- Install Node.js (if you don't have it): Download from nodejs.org
- Install the MCP server:
npm install -g prompteka-mcp
- Configure your AI tool: Add the server to your MCP client's configuration (Claude Desktop, Cursor, etc.)
Detailed setup instructions: GitHub Repository README
MCP is an open standard, so any MCP-compatible tool can connect to Prompteka. Popular options include:
- Claude Desktop (by Anthropic)
- Cursor (AI code editor)
- Any other tool that implements the Model Context Protocol
Check your AI tool's documentation to see if it supports MCP integration.
If your AI tool can't connect to Prompteka via MCP, try these steps:
- Verify installation: Run
prompteka-mcp --versionin Terminal to confirm it's installed - Check configuration: Make sure your MCP client's config file points to the correct server path
- Restart your AI tool: Close and reopen Claude Desktop, Cursor, or your MCP client
- Check permissions: Ensure Prompteka has created the database at
~/Library/Application Support/prompteka/prompts.db - Review logs: Check your MCP client's logs for connection errors
- Refresh Prompteka app: If you have the Prompteka app open and made changes via MCP, click the "Refresh" button in the top toolbar (or press ⌘R) to see the latest data
Still having issues? See the MCP Troubleshooting Guide or contact support.
System Requirements
- macOS: 10.15 (Catalina) or later
- Disk Space: ~10 MB
- Internet: Not required (fully offline)
Troubleshooting
App won't open or crashes on launch
Try these steps:
- Restart your Mac
- Make sure you're running macOS 10.15 or later
- If the issue persists, contact support (see below)
Data disappeared after update
Your data should persist across updates, but if you're missing prompts:
- Check your backup files if you created any
- Look for backup files in your Documents folder
- Contact support with details about when the data went missing
Search not finding my prompts
Search looks for matches in:
- Prompt titles
- Prompt bodies (full text content)
- Folder names
Make sure your search term matches the text you're looking for. Search is case-insensitive.
Permission errors when exporting or backing up
If you see a permission error when trying to save files (exports, backups, etc.), this is macOS protecting certain system folders. Here's how to fix it:
Why This Happens
macOS protects folders like Documents, Desktop, and Downloads from apps accessing them without explicit permission. App Store apps need special entitlements to access these locations.
The Solution: Use Your Home Directory
- Create a new folder in your home directory (e.g., "Prompteka-Backups")
- When saving files, choose this folder instead
- This avoids all permission issues
How to Create a Folder in Your Home Directory
- Open Finder
- Press
Shift+Cmd+Hto go to your home folder - Press
Shift+Cmd+Nto create a new folder - Name it something like "Prompteka-Backups"
Protected vs. Safe Locations
- Protected (may cause errors): Documents, Desktop, Downloads, iCloud Drive folders
- Safe (no permission issues): Any folder you create directly in your home directory
